Annual leave tracking for four-day week companies

Annual leave that understands a four-day week

Most leave tools assume Monday to Friday. Leavepad lets you set your own working week, so a week off on a four-day week costs four days, your day off never comes out of anyone's allowance and the calendar shows your real week.

Sound familiar?

A week off that costs five days

Tools built for a five-day week take Fridays from people's allowance even though nobody works them.

Allowances converted by hand

Someone has to turn a 25-day allowance into the right number for a four-day week and keep it right every year.

Bank holidays on your day off

When a bank holiday falls on the day nobody works, who gets what? The spreadsheet never quite agrees.

Guide

How to calculate holiday entitlement on a four-day week

Holiday on a four-day week is simple once you work in weeks rather than days. Here's the method most UK employers use.

  1. 1

    Start from weeks, not days

UK workers are entitled to 5.6 weeks of paid holiday a year. Any extra your company gives is easiest to think of in weeks too: 25 days on a five-day week is five weeks.

  2. 2

Multiply by the days worked each week

    Statutory leave on a four-day week is 5.6 × 4 = 22.4 days. A five-week company allowance becomes 5 × 4 = 20 days.

  3. 3

Decide how bank holidays are treated

The 5.6 weeks can include bank holidays. Say clearly whether your allowance is on top of bank holidays or includes them, especially when one falls on your day off.

  4. 4

    Check compressed hours separately

If people work full-time hours in four longer days, a day of leave is a longer day. Keep allowances in days of your own working week so a day off is always a day off.

  5. 5

Set it once in your leave tracker

Set your working week and the allowance in your own days, then let the tool count only working days for every request.

Annual leave tracking for four-day week companies: FAQ

How much annual leave do you get on a four-day week?

+

Usually the same number of weeks as on five days, converted to working days. In the UK, the statutory 5.6 weeks becomes 22.4 days for someone working four days a week (5.6 × 4). A company giving 25 days on a five-day week would typically give 20 on a four-day week.

Do you get bank holidays on a four-day week?

+

There's no automatic right to bank holidays off in the UK; they can count towards the 5.6 weeks. On a four-day week, a common approach is that bank holidays on a working day are paid days off and ones on the non-working day are simply not counted. Write your rule into the policy.

How do public holidays work in Leavepad on a four-day week?

+

Leavepad never takes public holidays from anyone's balance and only counts your working days, so a holiday on your day off costs nothing and one on a working day is a free day off.

Is holiday counted in hours or days on compressed hours?

+

Either can be fair. Leavepad counts leave in days of your company's working week, which works well when everyone works the same pattern. If people work different hours, adjust individual balances so each allowance matches their hours.

Can we choose which day is the day off?

+

Yes. The working week is a company setting: pick any combination of days, such as Monday to Thursday or Tuesday to Friday. Leave and the calendar follow it.

What if some people still work five days?

+

The working week is set for the whole company, and admins can adjust any person's balance so their allowance matches their pattern. Use the free pro rata holiday calculator to work out the numbers.
